✅ Add an External (Guest) User to a Microsoft Teams Team
✅ Prerequisites
- You are a Team Owner
- The external user has a valid email address (business or personal)

Step 1: Add the External User to the Team
- Open Microsoft Teams (desktop or web)
- Select Teams from the left navigation
- Find the team you want to collaborate in
- Click More options (⋯) next to the team name
- Select Add member
- Enter the external user’s full email address
- When prompted, click
Add email@domain as a guest
- Click Add


Step 2: Guest User Instructions
Accept the Invitation and Complete MFA Setup
These steps are completed by the external (guest) user.
Step 2.1: Accept the Microsoft Teams Invitation
- Open the email titled:
“You’ve been added to a team in Microsoft Teams”
- Select Open Microsoft Teams
- Sign in using:
- An existing Microsoft account OR
- Create a free Microsoft account using the same email address
✅ Microsoft Teams will open automatically after sign‑in
Step 2.2: Security Verification Prompt
After signing in, the guest will see a message similar to:
“Your organization requires more information to keep your account secure.”
- Select Next to continue
✅ This indicates Multi‑Factor Authentication (MFA) is required by the hosting organization.
Step 2.3: Set Up Multi‑Factor Authentication (MFA)
- Choose a verification method
(Microsoft Authenticator app is recommended)
If using Microsoft Authenticator:
- Install Microsoft Authenticator on a mobile device
- Open the app
- Scan the QR code displayed on screen
- Approve the test notification
✅ When verification succeeds, select Next
Step 2.4: Confirmation of Security Setup
The guest will see a confirmation message similar to:
“Success! You’ve set up your security info.”
- Select Done to complete setup
Step 2.5: Access the Team
- Microsoft Teams opens automatically
- If prompted, select the hosting organization
- Go to Teams
- Select the team the guest was invited to
✅ The guest now has full access according to guest permissions.
✅ Notes for Guests
- MFA is required each time security policies demand it
- Guests may need to switch organizations in Teams if they belong to multiple tenants
- Private channels require separate access if applicable
